UW Information Technology (UW-IT) is the central information technology organization for the University of Washington, responsible for strategic planning, oversight, and direction of the UW’s IT infrastructure, resources, and services.
UW-IT provides critical technology support to all three campuses, UW Medicine, and research operations around the world, partnering with the UW community to enable innovation, learning, discovery, and service.
" The Executive Assistant (payroll title: Assistant to the VP, referred to in this document as Assistant) provides professional, direct, and confidential assistance to the Vice President for UW Information Technology and CIO, and in extension, the UW Information Technology (UW-IT) Executive Leadership Team (ELT).
The Assistant is expected to act independently to plan and execute projects as assigned by the VP and is to exercise discretion when managing the daily responsibilities of the VP.
The Assistant is expected to represent the VP's goals, interests, and priorities to the organization, as well as to the University community.
This position is responsible for a broad range of duties in support of the Office of the VP for UW-IT, including, but not limited to: office management, project coordination, executive scheduling and briefing, executive communications, coordinating day-to day activities, and other administrative functions.
Day-to-day calendaring and scheduling is currently performed by a separate scheduler position, also in the Office of the VP for UW-IT.
While the Scheduler is a direct report to the VP for UW-IT and CIO, the Assistant is expected to guide and direct the scheduler on a regular basis.
REQUIREMENTS: Bachelor’s Degree in business administration, or related field, or equivalent combination of education and experience may be substituted for a four-year degree.
Bachelor’s degree in business, project management, information technology, related fields, or equivalent experience.
Minimum of six years of executive level administrative support.
Proficient in Microsoft 365 applications, Visio, SharePoint, and Microsoft Teams.
Solid understanding of organizational processes with the capability to analyze and provide actionable recommendations.
Strong oral and written communication skills, with expertise in preparing detailed reports, correspondence, and minutes.
Exceptional attention to detail and proven ability to manage deadlines and prioritize tasks effectively in high-pressure situations.
Experience in planning and coordinating complex meetings and managing multiple projects in a fast-paced environment.
Ability to work independently with minimal supervision, maintaining confidentiality and exercising discretion.
Excellent interpersonal and customer service skills, demonstrating tact, equity, and diplomacy.
Commitment to upholding the University's ethical standards and promoting inclusivity and diversity.
DESIRED: Master’s degree in business, project management, or similar field.
Experience in a large, complex, public research university or similarly sized state agency.
Advanced data analysis and presentation skills to support strategic decision-making.
Proficiency in project management methodologies to optimize team efficiency.
Agile in adopting new technologies, enhancing digital proficiency in a rapidly evolving environment.
CONDITIONS OF EMPLOYMENT Hybrid, open office environment This is an essential positon and is required to report to work remotely when UW suspends operations.
