ABOUT THIS ROLE The Board Administrator works closely with the Board of Trustees, the CEO and select Board Committees, ensuring that all governance matters are handled smoothly and effectively.
The Executive Coordinator is the primary point of contact for Trustees and will support the Board as a strategic thinker and a project manager.
This person will be responsible for scheduling, organizing, developing, and executing monthly board meetings, committee meetings, and special events.
This person also ensures the meeting preparation of the Board Chair and the CEO.
This highly organized, time sensitive, and detail-oriented person will finalize materials and presentations so that all materials project a high degree of professionalism.
The position must exercise judgement and be able to anticipate needs and respond appropriately.
The person should also be a generalist, willing and able to perform complex administrative duties on a wide variety of matters.
The position must also maintain confidentiality and discretion and be capable of independent judgment when carrying out projects and assignments.
WHAT YOU CAN EXPECT TO BE DOING IN THIS ROLE AT PLYMOUTH HOUSING You’ll provide high level support and assistance to the Board of Trustees, serving as the primary point of contact.
You’ll oversee the Board and Board Committee calendars, which helps determine and plan the frequency of meetings.
You’ll develop agendas and materials for board meetings, conferences, and retreats.
You’ll serve as a governance resource and expert for the organization – You’ll schedule, organize, plan, and attend Board meetings and select committee meetings.
You’ll take minutes and/or notes at all meetings and distribute them in a timely manner.
You’ll ensure the timely preparation and distribution of materials for the Board and Committee meetings and coordinates with other departments and CEO to develop content.
You’ll organize and maintain files on the company intranet related to the board and the Corporation such as Articles of Incorporation, Bylaws, Board Policies, and Minutes.
You’ll prepare and edit documents, including meeting agendas, correspondence, and PowerPoint presentations.
You’ll assist the CEO, Board Officers, and Committee chairs with calendaring and reminders so that all assignments are completed on time.
You’ll respond to and handle confidential and sensitive information with poise, tact, and diplomacy.
You’ll provide travel logistics, including drafting itineraries, booking, and coordinating travel arrangements.
You’ll facilitate processes for expense reporting and timecards.
You’ll coordinate and organize events and meetings, handling logistics such as scheduling facilities and catering, sending invitations, managing RSVPs, and tracking guest lists.
You’ll research projects or other initiatives as requested.
You’ll provide varied administrative and organizational support for all Plymouth executives including planning agendas, meeting logistics, and communication.
You’ll maintain various records and documents such as annual reports, and state filings.
You’ll support the Plymouth administrative team.
There will be other duties, projects, or tasks as assigned.

You have excellent demonstrated oral and written communication skills.

You have strong skills in time management, problem-solving, and can simultaneously complete multiple projects.
You can demonstrate the ability to interact appropriately and effectively with trustees, staff, tenants, external contacts and the ability to handle sensitive and confidential situations and documentation.
You are proficient and an expert with Microsoft Office applications.
You must be able to work efficiently and effectively with customized databases and conduct Internet research.
You can demonstrate the ability to work effectively both independently and as part of a team.
You have continual attention to detail in all aspects of the essential functions, as well as excellent proofreading skills.
You must be able to work regular business hours and able to attend Board Meetings or special events held after business hours and on weekends, as necessary.
QUALIFICATIONS Associate degree in liberal arts or business administration, or a combination of education and experience that provides the required knowledge, skills and abilities.
Bachelor’s degree is preferred.
Minimum five years’ executive level administrative experience supporting an Executive Director, President/CEO, COO, Board of Directors, or other similar senior-level executive.
Experience working in a non-profit setting is a plus.
Experience working or volunteering with a diverse and economically disadvantaged community is preferred.
