GENERAL SUMMARY

The Permitting Assistant performs general administrative, customer service and permit related tasks in support of the City's Permitting function.
This is a part time <20 hours a week position.
Schedule is flexible during regular business hours.
EXAMPLES OF DUTIES
Essential Functions:
Receives and processes various types of permit applications; reviews applications for accuracy and completeness according to established criteria.
Creates permit files and distributes applications for review; updates and maintains permitting records.
Enters permit information into City permitting software (TRAKiT).
Researches and communicates the status of permits to applicants.
Researches property information using computer, paper files and microfiche.
Calculates and collects permit fees according to published fee schedules; processes payments.
Issues permits.
Perform reception work and provide information derived from established policies, procedures and other relevant sources to internal and/or external customers.
Answers telephones, screen calls, respond to inquiries and/or refer callers to appropriate permitting staff.
Receive, label, log, file and retrieve data.
Other duties as assigned.
QUALIFICATIONS
Knowledge of:
Residential and/or commercial permitting processes, or ability to learn.
Applicable permitting software programs, or ability to learn.
Excellent communication skills both written and verbal.
Attention to detail with the ability to ensure accuracy and thoroughness.
Excellent customer service skills with the ability to effectively work with people of diverse backgrounds.
Proficiency in computer skills, including MS Office applications such as Word, Excel, and Outlook.
Basic math and accounting skills
Ability to:
Participate and work effectively in an organization committed to advancing principles and practices of equity and anti- racism.
Analyze and solve problems effectively.
Organize, sort, and compile documents.
Follow instructions, prioritize workload, and meet deadlines.
Work independently with minimal supervision.
Positively contribute to a team environment.
Training and Experience:
Completion of high school; and
1-2 years of experience providing permitting customer service
Or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job
