POSITION PURPOSE Review and finalize specific administrative pre- and post-award actions related to sponsored programs, including requests to sponsor, sponsored required documentation, and unfunded related agreements or forms.
Review unilateral Federal grant award notifications, as well as check or wire transfer payments and prepare and finalize associated funding actions.
Working in a team-based environment, receive and review administrative actions that relate to specific sponsored programs.
Such administrative actions relate to pre-award activity, such as advance budget number eligibility or submission of just-in-time materials, as well as post-award activity, such as de-obligations, transfers out of the University and closeout.
In addition, this position receives and reviews unilateral Federal grant awards, including supplements and incremental funding, and prepares and approves funding actions.
This position is also responsible for updating and maintaining certain procedural documentation, as assigned.
DUTIES AND RESPONSIBILITIES Review pre-award and post-award requests and materials as they relate to specific sponsored programs, and ensure all requests and materials are consistent with Federal, state and local rules and regulations, University policy and specific sponsor policy and requirements.
Such actions include, but are not limited to, the following requests: - Just-In-Time material - Budget Extensions - De-obligations, Relinquishments and Transfers out of the University - Closeout Prepare administrative actions within the University’s electronic system for sponsored projects administration and research compliance – SAGE Central Advise faculty, students, research administrators and other staff in sponsored program policy and processes as they relate to specific pre-award and post-award activity.
Finalize and approve administrative actions as delegated by the Director.
Prepare, finalize and approve funding actions related to check or wire transfer payments as delegated by the Director.
Respond via telephone or email to requests from departments or sponsors regarding proposals and awards and their status.
Handle outgoing distribution of processed awards.
Maintain files of partially completed or fully executed award documents.
Provide back up for other Program Coordinators; print transmittal letters; and assist with other duties as assigned.
Other duties as assigned, including serving as backup reception for front desk staff.
MINIMUM REQUIREMENTS High school graduation or equivalent AND two years of experience in grant and contract administration (program specialty) OR equivalent education/experience.
ADDITIONAL REQUIREMENTS Computer proficiency with Microsoft Excel, Word, PowerPoint, Outlook, and databases in a Windows environment.
Strong verbal and written communication skills.
Demonstrated experience working with a large, highly structured environment.
Ability to work independently with a high degree of reliability, accuracy, and productivity.
Background in reviewing federal award terms and conditions.
Ability to recognize and triage correspondence with regard to sponsored program materials for the appropriate review and approval.
Ability to manage a high volume of time sensitive materials within a specialized database.
Strong customer and interpersonal skills.
Experience with facilitating information flow between the grantee and sponsors.
DESIRED QUALIFICATIONS Knowledge of Federal, industry and non-industry granting agency’s regulations and UW research policies.
