*Job Summary:*
Responsible for the leadership and oversight of field operations, including the planning, quality control, administraton, and successful, profitable completion of all Construction Department projects.
Must be organized and able to manage several responsibilities simultaneously, while ensuring the product meets Cardinal Heating & Air quality and customer service standards.
Work with the sales team, Project Leads, technicians, Project Administrator(s), Installation Coordinator(s) and design team to maintain scope, schedule and budget.
*Responsibilities:* *Pre-Contract* • Support the sales effort.
Help achieve adequate pricing by providing expertise as to anticipated project challenges and costs.
*Pre-Build* • Review project contract and ensure all necessary documents are processed and sent back to GC in a timely manner, as applicable.
• Assign the Project Lead best suited for each project, based on skill set, workload and specific client needs.
• Organize and hold pre-build meetings and ensure that all available project information is effectively relayed from Sales to the Construction Administrative Team, Project Leads, and technicians.
• Create with the Project Leads detailed project plans for each job that includes the assignment of project roles and accountabilities including a working budget, installation schedule, permitting requirements, mechanical design needs, and a detailed strategy to optimize acquisition of long lead equipment to be ordered in advance.
*Build* • Ensure our general contractors, architects, engineers, and homeowners needs are met throughout the project.
Must be able to clearly and concisely lead client meetings related to entire project scope with homeowner, architect and build team.
Address client concerns and resolve any issues that may arise in a timely and positive manner.
• Manage project budget, scope, and contract.
Ensure that Project Leads proactively update plans and schedules as situations change, that projects are code compliant, meet or exceed quality standards, and complete profitably and on-time.
Anticipate challenges on projects and revise plans as needed to avoid issues and delays and achieve profitability goals.
• Organize and lead project team meetings weekly.
Provide feedback on financial performance, debrief Project Leads, and ensure all projects are on task.
Ensure that project plans are effectively executed and results achieve or surpass performance objectives related to productivity, quality, service, and safety.
• Anticipate and proactively maximize project profitability to include, among other things, reviewing material requests, coordinating with purchasing, and scheduling departments to ensure efficiency and profitability expectations are achieved or surpassed; conduct site visits and anticipate project needs to reduce or eliminate unproductive time and the need for the field staff to come to the shop; review project costs and work with field staff, Installation Coordinator(s) and Comfort Consultant(s) to create and secure approval of change orders.
• Ensure Project Leads have completed all punch lists or uncompleted tasks in a timely and professional manner.
• Ensure all project phase checklists have been filled out for each project and turned in to SharePoint JIP files.
• Perform random and scheduled project quality control inspections throughout the duration of the project.
• Upon completion, evaluate each project, and create an updated system summary if needed, provide feedback to the Department Manager and Comfort Consultant on what worked and what could have been better, and recommend changes designed to improve outcomes going forward.
• Oversee delivery of project close out documents as needed, and the smooth transition of the project to the Service Department.
*Administration* • Determine amounts to be invoiced for each project’s monthly billing and provide to the Installation Coordinator(s) before billing cut-off dates.
• Ensure change orders have been identified, submitted, approved, invoiced and collected in a timely manner.
• Update and maintain schedule forecast board with all sold jobs, communicating and resolving scheduling issues with the other departments, including sales needed to maintain a steady workflow.
• Acquire, contract, schedule and coordinate subcontractors effectively.
• Ensure proper permits are in place before the project starts, and inspections/corrections are performed within the expiration timeline.
• Support A/R for the Construction Department and follow up as needed to ensure timely payment has been recieved.
Resolve client concerns preventing payments from being collected and discuss nonresponsive accounts with Construction Department Manager.
• Ensure all purchase orders, returns and warranty claims are processed by field personnel, and applied by warehouse and vendor staff by monthly deadline.
• Review timesheets, daily production logs, and other administrative documents as needed, to ensure accuracy and timeliness.
• Ensure accuracy of TOM, SharePoint and hard copy records for jobs as they are nearing completion (equipment model / serials numbers, location, filter type and sizes).
*Management* • Provide leadership, direction, and support to direct reports.
Conduct quarterly one-on-one performance meetings and annual reviews.
Monitor their abilities concerning leadership, technical ability, safety and quality installation practices.
Provide commendation, encouragement, direction, training, and private correction when needed.
• Provide support and sponsorship to direct reports in management roles performing annual reviews, one-on-ones and disciplinary action.
Essure reviews and one-on-ones are being performed on schedule.
Review performance and disciplinary documents prior to presentation and make suggestions/corrections as needed.
• Ensure all members of the project team are communicating effectively and are all aware of project successes, issues, profitability and challenges so that they may do their jobs effectively.
Communicate daily with direct reports.
• Create the departments training calendar, ensure that all Field Staff meet the company’s and department’s qualifications in management, technical skills, and customer service.
• Monitor all department field employee’s technical licenses and certifications.
Ensure all are current for the work being performed.
*General* • Provide exceptional customer service with the goal of establishing long-term partnerships with customers, builders, and other project partners.
Proactively and effectively communicate and address issues that may arise to avoid surprises.
Return calls in a timely manner, resolving open issues in a fast and efficient manner.
• Maintain a cooperative working environment, positive employee relations and morale, while enforcing discipline as required.
• Ensure all Cardinal Heating & Air policies and Construction Department procedures are followed, implemented, and enforced.
• Complete clear and concise paperwork as needed.
• Maintain timely, open communication with the construction team daily.
• Maintain professional appearance and attitude at all times.
• Clean and organize your company provided vehicle weekly, if applicable.

• Ability to coordinate with other trades to predict and reduce conflict and maximize job efficiency.
• Ability to successfully coordinate, install, trim and fire-off a complete job from start to finish, regardless of professional specialty.
• Excellent understanding of, or an ability to learn quickly, how Cardinal Heating & Air HVAC systems work, are installed, controlled and maintained.
• Excellent problem-solving and system troubleshooting skills.
• Ability to read and understand blueprints, technical drawings and communicate information to build team.
• Maintain knowledge of, and ensure all installations are congruent with all applicable building codes and standards; Washington State Energy Code, International Residential Code, International Mechanical Code, National Electric Code and International Fuel Gas Code.
Knowledge of the Uniform Plumbing Code, Uniform Solar, Hydronic and Geothermal Code, Manual D, Manual J and Manual S is a plus.
• Able to communicate clearly (verbally and in writing with clients, site superintendents, coworkers, and homeowners.
• Proficient with Microsoft Office Suite products.
