Instore Technology is a locally owned business headquartered in Bellevue, Washington, that sells, installs, and services point-of-sale and other technology systems in support of independent grocers across the Western United States and Alaska.
We install and support traditional checkout lanes, self-checkout lanes, electronic shelf labels, networking equipment, and the software that runs these independent stores.
Currently, we have an immediate opening for an Administrative Assistant to join our team in Bellevue.
This is a full-time, on-site role that will work alongside our Purchasing Specialist and report to the Operations Manager and the CEO.
Generate billing for customers for installation expenses from employee expense reports
Manage customer contracts - gathering signed paperwork, filing electronically, creation/maintenance of contracts in our system
Verify equipment on contract following a swap of covered equipment
Run monthly accounts receivable report - send customer statements and reach out to customers for past due payments via phone and email
Maintain databases of customer records, inventory items, etc.
Follow procedures for customer acquisition/loss, including managing communication and following up with all impacted vendors
Assist with physical inventory audits
Liaise with third-party benefits administrators to onboard employees onto health, dental, vision, and 401k plans and adjust as necessary over time
Support the CEO with ad-hoc requests (i.
e.
, running specific reports, analyzing data, organizing paperwork)

Pay Scale: $50,000 - $60,000 per year
Required Qualifications:
Bachelors degree
Advanced computer skills, including Microsoft Office (specifically Excel), and the ability to learn eAutomate (our enterprise resource planning system)
Strong interpersonal and communication skills; ability to communicate clearly and concisely both verbally and in writing
Ability to work effectively as an integral team member, establishing relationships with internal colleagues and external clients and vendors
Ability to complete tasks on time with accuracy and with strong attention to detail
Ability to work with integrity, trust, and commitment
