DESCRIPTION:
This Project Coordinator role is part of GID’s corporate team and will lead our initiatives for the Unit Rehab, Rehab Oversight and CapX Projects.
The project coordinator will conduct on-site bids and follow-up walks for Unit Rehabs and CapX projects using standardized templating & software as a partner to the Asset Management, Regional & Property Staff.
Under the direction of the Director of Procurement, the Project Coordinator will be focused on improving the value and effectiveness of Windsor Communities Unit Rehab and CapX programs.
The Project Coordinator is responsible for ensuring our scope, specifications and budgets are strictly enforced.
The Project Coordinator will be responsible for vendor negotiations and follow-up for both existing and new programs, primarily for Unit Renovations.
The Project Coordinator will provide administrative support and complete activities related to the Company’s renovation and other capital projects by preparing and managing documentation, contracts, billing, correspondence, and transmittal packages in accordance with company policies and procedures.
The Project Coordinator will be courageous and accountable to achieving our company initiatives.
RESPONSIBILITIES:
Oversee the RFP process, bidding and execution of all large, non-recurring CapX projects
Ensure consistency and transparency of bidding across all regions.
Work directly with Asset Managers to track the progress of CapX Project.
Qualify regional and national contract service vendors to leverage our spend and size within our regions.
Prepare and review contracts documents related to subcontractors by issuing purchase agreements, arranging change orders and transmittal packages, obtaining approvals and signatures, distributing copies to designated recipients, and ensuring documentation is returned and processed appropriately.
Submit project documents to Director of Procurement and other project team members by issuing transmit submittals and change orders, and logging and distributing documentation materials.
Monitor and review renovation contractors for consistency, pricing, and service level (which includes correct invoicing and consolidated statements)
Assist with due diligence and budgeting process
Review and approve Yardi Purchase Order and invoice submissions for all capital work under $25k for assigned properties
Work with Asset Manager and/or VP of Construction to monitor Large CapX projects like clubhouses and major amenity upgrades
Perform activities and auxiliary tasks for Director of Procurement and others to ensure smooth completion of planned projects and vendor and contractor relationships.
REQUIREMENTS:
At least 3-5 years related experience in multi-family maintenance or operations with progression from site to multi-site and regional/area responsibility.
The ideal candidate will demonstrate completion of industry training courses.
Education from technical vocational college is an advantage, but not a requirement.
Good interpersonal skills, with a demonstrated ability to advise, influence, and educate others.
Excellent communication and conflict resolution skills, with a strong customer service focus.
Willingness to challenge the status quo and take educated risks.
Demonstrated ability to handle numerous projects and tasks simultaneously.
Proficiency with technology, including Yardi, Microsoft Office (i.
e.
Word, Excel, etc.
) and Google Apps for Business.
Motivated to succeed with the capacity to assume increasing responsibility.
Frequent travel (at least 50% of time, depending upon location of projects)
Drug testing and background checks are an employment requirement.
